SpeedOzAI strategy, implementation and operations
For healthcare

Take the admin off the front desk. Keep health records where they are.

For practice administration and patient enquiries, AI answers routine phone questions, sorts the admin inbox and finds roster cover, while clinical advice, triage and care decisions stay with your practitioners.

Start with a six-week pilot for one process and one team, at AUD $5,000, credited in full against setup if you continue. A person reads every request and replies within one business day.

Support the people behind patient care

Where practices usually start

Four admin jobs, none of which needs a health record. Each shows what the AI does on its own, what waits for a person, and what is refused. Clinical advice, triage and care decisions stay with qualified practitioners.

Appointment questions, answered without a hold

ElevenLabs Telephony
Before

Calls about opening hours, parking, what to bring and how to book keep the front desk on the phone while patients wait at the counter.

With SpeedOz

A phone line answers only the questions you have written answers for, then passes the caller to reception or takes a message. It doesn’t reach clinical records and gives no medical advice.

The admin inbox sorted, intake forms checked

Microsoft 365
Before

Supplier emails, insurer requests and new-patient forms land in one shared inbox and wait for whoever has a spare minute.

With SpeedOz

Claude sorts the shared inbox in Outlook, drafts replies to admin requests and flags forms missing an administrative detail, such as a signature or a referral letter. Sending waits for the practice manager.

Cover for a sick day, found before the first appointment

Deputy
Before

When someone calls in sick at 6:30 am, the practice manager rings round for cover from the roster and memory.

With SpeedOz

Claude reads the roster and leave in Deputy, lists who could cover and drafts the message to them. Publishing the changed roster waits for the practice manager.

Registrations checked before they lapse

Employment Hero
Before

Staff registration and licence renewals live in a spreadsheet, and one lapses before anyone notices.

With SpeedOz

Claude checks the certification dates held in Employment Hero and drafts a reminder to each person whose renewal is due. Payslips, bank and tax details stay Off.

What the practice manager sees before the doors open

For example, a six-room GP clinic opens at 8 am. By 7:15 the phone line has taken a message and the roster has a gap. These are two slices of the SpeedOz app with sample data, and neither touches a health record.

What we connect, and what stays where it is

The admin systems below are on the SpeedOz integrations list today. Practice management and clinical systems are not, and health records stay in them.

Patient records and clinical notesNo practice management or clinical system is on the integrations list, so the AI has nothing to reach them through.
Your booking and practice management systemNot on the integrations list today. If you want the AI to reach it, we check what it allows in a workshop with a fixed price first, then you decide.
Clinical advice, triage and care decisionsWith qualified practitioners. The phone line passes anything clinical to a person, and we recommend it tells anyone describing an emergency to call 000.
Consent and accessIntake work depends on the right consent and access controls, agreed in writing before anything connects.
How control works

A named person decides, and every request is recorded.

A named approver for each teamUsually the practice manager. They decide what each team’s AI apps can reach, system by system, and review the list every ninety days.
Ask first on anything that changes dataA reply leaving the practice, a published roster or a reminder to staff waits for that person, who can approve it from their phone.
Risky actions start OffDeleting records, exporting everything, changing permissions and reading payslips are refused. Only the owner can turn one on, and that is recorded too.
Everything is on the recordEvery request is recorded, refusals included, on a record nobody can edit. It names who approved each change and when.

Start with one administrative bottleneck

Six weeks, one process, one team, AUD $5,000.

A paid pilot with a fixed shape: one admin process, one team and a go or no-go at the end. Before the scope is set, we agree the information involved, who can access it and the checks your staff make.

Week 1

Map the admin and the AI apps

Where the admin piles up, which AI apps your people already use, and the one bottleneck the pilot will take on.

You holdA written map of AI use in your practice
Weeks 2 and 3

Connect Microsoft 365 or Google Workspace and one admin system

For one team, with each sign-in agreed. Google Workspace’s connector is a developer preview: Gmail can draft but not send.

You holdOne team working from real work
Weeks 4 and 5

Ask first on anything that changes data

Drafts run on their own. Changes wait, and approvals come from the practice manager’s phone.

You holdA record of what ran, waited and was refused
Week 6

We read back what happened with the people who used it, and you decide.

Questions

What practice managers ask first.

Anything else, ask in the evaluation. A person answers within one business day.

No. Health records stay in your practice’s own systems. No practice management or clinical system is on our integrations list, so nothing reaches one unless you decide it should, after a scoping workshop, with what the AI may read agreed in writing before anything connects.

Under the Australian Privacy Act. SpeedOz is hosted in Australia by default, with other regions on request, confirmed in writing in the scope. Where a connected system holds data elsewhere, the integrations list says so: Google Workspace, for example, lists US and EU data regions only.

For administrative details, yes: a missing phone number, an unsigned consent form, no referral letter attached. Claude flags what is missing and drafts the request for your team to send. It doesn’t read clinical notes, and the consent and access controls are agreed first.

No. It answers the questions you have written answers for, such as opening hours and what to bring, and passes everything else to reception. You decide what it says, and we recommend it tells anyone describing an emergency to call 000.

We don’t claim any. We align our controls with ISO/IEC 42001, the standard for managing AI systems. We are not certified. The security pack sets out how SpeedOz controls access, approvals and records, and we will go through what your practice needs to see.

Setup starts from AUD $5,000 for a fixed scope, quoted in writing before any work starts, and running it starts from AUD $900 a month for the whole organisation, not per seat. If you would rather not start with a pilot, the evaluation is free.

Bring one inbox, one roster or one phone question.

Bring an example of a repetitive task and the systems your practice uses. A person reads it and replies within one business day, and we will tell you whether a pilot fits.
